1. Scope of This Policy

This policy applies to the Open Almond Studios website, including blog pages, newsletter and playtest signup flows, ministry intake submissions, account and profile features, and related website tools.

It explains what information the website collects, how that information is used, when it may be shared with service providers, and what choices visitors and subscribers may have.

2. Information We Collect

You may provide information when you:

  • Sign up for newsletters or change newsletter preferences.
  • Apply to join playtests or submit playtest feedback.
  • Submit ministry intake details.
  • Contact us by email or through website response flows.
  • Create or use an account or profile where those features are available.

Depending on the feature, this may include your name, email address, saved preferences, messages, account identifiers, and form responses you choose to provide.

When you use the website, we may automatically collect information such as:

  • IP address and approximate location derived from it.
  • Browser, device, and operating system information.
  • Pages viewed, referral source, and visit timestamps.
  • Performance, diagnostic, and interaction data.
  • Cookies and similar technologies used for functionality, analytics, security, and advertising where enabled.

2.3 Internal Editorial Tools

The site includes admin-only and editor-only content tools. Authorized editors can use an AI-assisted workflow to generate blog summaries and SEO metadata from article content they enter into the editor. That workflow is limited to editorial operations and is not part of normal visitor browsing.

3. How We Use Information

We use information collected through the website to:

  • Operate the site and keep core website features working.
  • Send newsletter updates and manage email preferences.
  • Handle playtest signups, ministry intake submissions, and related follow-up communication.
  • Provide customer support and respond to messages.
  • Measure traffic, diagnose issues, and improve site performance and content.
  • Display advertising on designated blog or article pages where advertising is enabled.
  • Maintain internal publishing, moderation, and editorial workflows.

We do not sell personal information for money.

5. Analytics and Measurement

We use analytics and performance tooling to understand site traffic, measure feature usage, and improve the website. In the current site setup, that includes Vercel Analytics, Vercel Speed Insights, and limited site-event measurement tied to actions such as newsletter saves and important link clicks.

These services may use cookies, similar technologies, log data, and browser information to help us understand how the site is performing.

6. When We Share Information

We share information only where it is needed to operate the website and related services, such as with:

  • Hosting, delivery, and infrastructure providers such as Vercel and related web infrastructure services.
  • Authentication, database, and storage providers used for account, content, and configuration features.
  • Email and communication providers such as MailerLite and Resend.
  • Analytics and performance providers.
  • Advertising providers such as Google AdSense, where ads are enabled.

If you follow links out to third-party stores, community platforms, or support platforms, your information will be handled under those third parties' own policies once you leave our site.

7. Your Choices and Rights

You may have practical choices such as:

  • Managing cookies in your browser settings.
  • Using consent or privacy-choice tools made available on the site, where applicable.
  • Unsubscribing from newsletters through links in our emails.
  • Requesting access, correction, or deletion of information we hold about you, where applicable.

8. Data Retention and Security

We keep information for as long as reasonably necessary for the purposes described in this policy, including operating the website, maintaining records, honoring preferences, addressing security issues, and meeting legal or business obligations.

We use reasonable administrative, technical, and organizational safeguards to protect information. No website or online system is completely secure, so we cannot guarantee absolute security.
